Privacy Explained
Privacy, Explained
Last Updated: 6 September 2026
Our full Privacy Policy is the legal document. This page is the plain-language version — what we collect, why, and what you can do about it. If the two ever disagree, the Privacy Policy is the one that legally applies.
The short version
- We collect what we need to run your account, verify your Hub, show your promotions in the feed, and process payments.
- Your ID documents are used only to verify you — they're not shown publicly and aren't shared beyond what's needed for compliance.
- Anything you post through an approved Hub is public, because that's the whole point of a promotional platform.
- We use trusted providers to run the Platform (see below) — we don't hand your data to random third parties.
What we collect, in plain terms
When you sign up: your name, email, and a password (we only ever store a scrambled/hashed version — we can't see your actual password).
When you apply for a Hub: ID documents, business registration (if applicable), proof of address, and proof you have rights to what you want to promote. This is how we verify you're a real person or real business before letting you promote anything. Only necessary staff/systems can access this.
When you use the Platform: basic activity data — what you view, what you post, what device/browser you're on, your IP address. This helps us keep things running and catch abuse.
When you pay for something: your card details go straight to Paystack, our payment processor — we never see or store your full card number. We just get told "this payment succeeded" so we can activate what you paid for.
Anything you post: text, images, video, audio, documents — whatever you upload through your Hub.
Who we share it with
We work with a small set of providers to run Kay Vault, and each only gets the data they need to do their job:
| Provider | What they do | What they get |
|---|---|---|
| Hetzner | Hosts our servers, database, and cache — we self-host, we're not on a shared cloud platform | Everything needed to run the Platform (it's our own infrastructure) |
| Cloudflare R2 | Stores your images, video, audio, and documents | The media files you upload |
| Resend | Sends account and notification emails | Your email address and the content of emails we send you |
| Paystack | Processes payments for paid slots | Your payment details (we never see your full card info) |
We may share information if the law requires it (like a valid legal request), or if needed to protect people from fraud or harm.
What's public vs. private
Public (visible to other users):
- Your Hub profile and anything you post through it
- Promotional content in the feed
Private (not shown to anyone but you and the people who need it to run the Platform):
- Your ID/verification documents
- Your email, and password
- Your payment details (which we don't even see — Paystack does)
Your choices
- See what we have on you: email us and we'll tell you.
- Fix something wrong: update it in your account settings, or ask us to correct it.
- Delete your data: you can request deletion, though we may need to keep certain records (like payment or compliance records) for a while if the law requires it.
- Close your account: deactivate anytime — we'll wind down your data per our retention rules.

Why we keep ID documents on file
Every Hub goes through identity verification before it can promote anything — that's core to keeping Kay Vault trustworthy. We keep those documents only as long as needed for verification and compliance, and they're never shown publicly.
Questions?
This page is meant to make things clear, not replace the full policy. If something here seems off from the Privacy Policy, the Privacy Policy governs. Either way, email us at [PRIVACY EMAIL] — we'd rather explain it than have you guess.
