This Privacy Policy explains how Kay Vault (a product from YEBOAH ASIAMAH TECHNOLOGIES) ("Kay Vault," "we," "us," or "our") collects, uses, stores, and shares personal data when you use the Kay Vault website, mobile applications, and related services (the "Platform").

  1. Who We Are

Kay Vault is operated by YEBOAH ASIAMAH TECHNOLOGIES (a company registered in Ghana that is into DEVELOPMENT AND INSTALLATION OF WEBSITES AND SOFTWARE.) You can reach us about privacy matters at support@kayvault.com.


  1. Personal Data We Collect

2.1 Account and Profile Information When you create an account, we collect information such as your name, email address, password (stored hashed, never in plain text), and any profile details you choose to add.

2.2 Hub Verification Information Because every Hub must be approved before it can promote anything, when you apply to create a Hub we collect identity and business verification information, which may include:

  • Government-issued identification;
  • Business registration or incorporation documents;
  • Proof of address;
  • Ownership or rights information for what you intend to promote;
  • Any other information reasonably needed to confirm your identity or legitimacy.

This information is used strictly for verification and compliance purposes and is handled with additional access restrictions internally.

2.3 Content You Post Anything you upload or submit through the Platform — posts, images, video, audio, documents, descriptions, links, and messages.

2.4 Payment Information When you purchase a paid feed slot or other paid feature, payment is processed by Paystack, our third-party payment processor. Kay Vault does not store your full card or payment credentials — Paystack handles that directly, subject to its own privacy policy and PCI-DSS obligations. We receive limited transaction information from Paystack (e.g., payment status, amount, and a reference ID) to confirm and record your purchase.

2.5 Usage and Analytics Data We collect basic usage data to operate and improve the Platform, such as:

  • Pages/features accessed and actions taken (e.g., posts viewed, Hubs followed);
  • Device and browser type, IP address, and general log data;
  • Timestamps and session information.

2.6 Information from Others If someone reports your account, Hub, or Content, or interacts with your Content (e.g., comments, messages), we may collect information related to that interaction.


  1. How We Use Personal Data

We use personal data to:

  • Create and maintain your account and Hub;
  • Verify your identity and the legitimacy of your Hub before approval;
  • Operate the feed round and slot system, including displaying and rotating your promotional Content;
  • Process payments for paid features via Paystack;
  • Communicate with you (service updates, security alerts, support responses) via Resend, our email delivery provider;
  • Monitor for and prevent fraud, abuse, and violations of our Acceptable Use Policy;
  • Analyze and improve Platform performance, features, and reliability;
  • Comply with legal obligations, including responding to lawful requests from authorities.
  1. Where and How We Store Data
  • Servers, database, and cache: Kay Vault is self-hosted on Hetzner infrastructure. Our application servers, PostgreSQL database, and Redis cache run on Hetzner Cloud servers that we manage directly.
  • Media storage: Images, video, audio, and documents you upload are stored on Cloudflare R2.
  • Email delivery: Transactional and account emails are sent via Resend.
  • Payments: Payment processing is handled by Paystack.

Because Hetzner and Cloudflare operate infrastructure across multiple regions, your data may be processed or stored outside the country where you're located. Where required by law, we take steps to ensure such transfers are subject to appropriate safeguards.


  1. How We Share Personal Data

We share personal data only in the following circumstances:

  • Service providers: With Hetzner (hosting), Cloudflare (media storage/CDN), Resend (email), and Paystack (payments), each acting on our behalf and bound by their own data protection obligations.
  • Public Platform activity: Content you post through an approved Hub is public by design — that's the purpose of a promotional platform. Your Hub profile and promotional Content are visible to other users.
  • Legal and safety reasons: If required by law, legal process, or government request, or where necessary to protect the rights, safety, or property of Kay Vault, our users, or the public.
  • Business transfers: If Kay Vault is involved in a merger, acquisition, or sale of assets, personal data may be transferred as part of that transaction, subject to this policy or a successor policy.

  1. Data Retention

We retain personal data for as long as your account is active and as needed to provide the Platform. After account closure, we may retain certain data:

  • Where required by law (e.g., financial or tax records);
  • To resolve disputes, enforce our agreements, or investigate policy violations;
  • Identity verification documents may be retained for a defined compliance period after Hub closure, then deleted or anonymized.

  1. Your Rights and Choices

Depending on your location and applicable law (including Ghana's Data Protection Act, 2012 (Act 843)), you may have the right to:

  • Access the personal data we hold about you;
  • Correct inaccurate or incomplete data;
  • Request deletion of your data, subject to legal/retention exceptions;
  • Object to or restrict certain processing;
  • Withdraw consent where processing is based on consent;
  • Lodge a complaint with the Data Protection Commission of Ghana or your local data protection authority.

  1. Data Security

We implement technical and organizational measures to protect personal data, including hashed password storage, access controls on verification documents, encrypted connections (HTTPS/TLS), and firewall-protected infrastructure. No system is completely secure, and we cannot guarantee absolute security. See our Security and Compliance page for more detail.


  1. Children's Privacy

Kay Vault is not intended for individuals under 18. We do not knowingly collect personal data from children. If we become aware that we have, we will take steps to delete it.


  1. Changes to This Policy

We may update this Privacy Policy from time to time. We'll notify you of material changes via email or an in-app notice before they take effect. Continued use of the Platform after changes take effect constitutes acceptance of the updated policy.
